We recently finished up a feature in DDL and DDL iTruck which
provides for a 'paperless' duty status logs transfer between drivers who have
DDL and motor carriers who have DDL iTruck. Drivers still need to print a log everyday for the road.

PDF to DDL Introduction.

A process is now available to 'transmit' DDL printed logs without using any
paper log,  and NO 'scanning' of paper logs is needed.

Specifically, the process to extract the DDL duty status and other records
from the .pdf file when it appears in the motor carrier email 'Inbox'.  This
'extraction' into DDL records and into the DDL iTruck audit software, makes it
much easier for motor carriers to 'audit' the drivers logs.

The 3 'pieces' in the PDF to DDL procedure. (Three Steps need to be followed)

1. CREATE PDF LOG FILES using DDL.

Download and Install a 'virtual printer' if you don't have one , you can use any of the following:
www.primopdf.com is the freeware .pdf 'printer' which is free since it is based on 'open source' software. 
http://www.primopdf.com  - PrimoPDF v2.0  FREE PDF Converter.
http://www.cutepdf.com  - CutePDF Writer (Freeware);
http://www.pdf995.com - pdf995 create PDFs for free.
http://www.adobe.com/products/acrobat/readstep2.html is the link to free
Acrobat reader.  Adobe also has a link to another .pdf 'printer' which is
free.  There are a couple of others.

You can create .pdf files of DDL logs by installing any .pdf 'virtual printer'
and 'printing' from DDL print modules to that 'printer'.  Produces .pdf files
that can be displayed using the 'common' Acrobat reader software (free).

And by scanning and including your signature as a 'bitmap' signature in DDL,
then your signature image is also included in the .pdf file.

The .pdf files produced this way are emailed, as attachments, to the motor
carrier.

    A. You need to be on the log day you wish to use.

    B. Click on Print>Print using Print Module...>Then select the print module you wish to use from the list of available print modules (All Print Modules can be used.

    C. Click on Print... A print dialog box will open. Beside Name you will see the default printer name, should be one of the virtual printer you installed, if not then click on the down arrow button to open a list displaying all printer available. Choose the virtual printer you have installed.

    D. Click OK

    E. A save dialog box will open, Save the file. You will need to know where you have save the file and the file name (DO NOT CHANGE THE FILE NAME).

    F. Open your email client and mail the log file created in E. to your motor carrier email address. (you will need to find out where they want you to email the logs to.

That's it as far as the driver is concerned with. You can send more than one log as an attachment in the same email, each log with have a different file name.



2. DDL ITRUCK application.

The motor carrier will need DDL iTruck version 3.3.3.7 or later installed and running.

DDL iTruck - the auditing version of DDL - can be 'activated' for
PDF to DDL processing. By default iTruck is NOT activated, so you will need to contact Dennis and request this be activated. You will need your CustomerID/DDL#/DDL#, and Installment ID number.

Email InstallationID from DDL iTruck, and I will return the appropriate
ActivationCode.

Once activated DDL iTruck will show 'w/PDF' in 'About' then that DDL iTruck is
activated for receiving data from the PDFtoDDL application described below.

3. PDFtoDDL application.

There is a separate application, that needs to be installed on same computer as DDL iTruck,
that scans 'Inbox' email, or a specified 'folder' for .pdf files. PDF files are opened and searched for the
'magic' DDL log data - includes all DDL produced data records that can be converted back into DDL iTruck data records.  PDFtoDDL' is the program. More later on how this is done.

You will need to Download and Install this program. Please click on the link below for a direct download. This will create a new Icon on your Desktop called PDF-DDL

PDFtoDDL 'sends' each .pdf file to DDL iTruck for processing.

This program is still experimental, so any motor carrier willing to
try it, will require some detailed support.   Bruce and I have tested
it and it seems to work well. We have not yet written any 'help
system' so we will have to work up some 'help system' or .doc file.

 

How it works.

1. Click on iTruck icon, it must be running.

2. Click on PDF-DLL icon (Screen Shot)

3. A list of all log that are in the correct pdf format will be listed. (DDL uses the Inbox from an MAPI email program (i.e.... Outlook, Outlook Express, Microsoft Outlook. If you do not have MAPI setup for email, you will need to download and save the attachment to a folder on your computer, Later you will have to tell PDF-DDL where this folder is. (Screen Shot)

4. If nothing is in the list, then you do not have MAPI set up or there are no log pdf  files in your 'Inbox'. You will need to read your windows help system,  and contact your internet provider to learn how to set this up, however you can still use this system, you will need to save the log attachments to a folder on your computer, then you will need to tell PDF-DLL where they are located. To do this go to Settings>PDFtoDDL Options...> Then  type in the path to where you have stored the log attachments.  i.e... I created a folder called PDF Log Attachments on the C: drive.  I would type C:\PDF Log Attachments in the box. (This must match exactly) i.e... C:\PDF Log Attachments is not the same as C:\PDFLogAttachments (Screen Shot) You can also type the path into the address bar directly. (Screen Shot)

Click OK to save these settings.

5. On the to tool bar select either email or folder radio button. Email will use MAPI, and Folder will look in the place you set up in settings. Either way all pdf files that meet the requirements for Logs will be displayed. Now we are ready to process the pdf files. You can use the icon button.  (Select All), to select all pfd files, or select the one(s) you wish to use by highlighting it (them). To select more then one hold the CTRL key down then highlight each log you wish to process. (Screen Shot)

6. Click on the icon button PDFs to DDL. (Screen Shot) If you have more than one, this may take several minutes (A dialog will appear telling you it is processing the files), when the conversion is complete a window will appear saying "X PDF Files Processed and Sent to DDL" (Screen Shot)

Thats it the software will do the rest and insert the logs into the correct Drivers folder. Your now ready to switch to iTruck and audit the logs as before. No worry about scanning the logs and having to change or correct the software, It will be 100% correct.

There are a few extra icon buttons on the toolbar for PDF-DDL, below we will discuss how the are used.

View PDF -- At any time you wish to view the log before processing, simple highlight the log you wish to view and Click on View PDF icon button. The log will will be displayed in the pdf reader you have installed on your system.

Get One PDF File -- You can also get a Log pdf file by clicking on Get One PDF File Icon Button. A dialog window will open, allowing you to select the folder or a different location where you might have stored the attachments. (ie.. a external device, Hard drive, server, different computer)

Import Note: After PDFtoDDL has processed the Logs, they will be removed from the list (Not the folder) We recommend you move  and save all log attachments to a different drive or location, thus allowing a backup.
